Booking Terms & Conditions

Booking Terms & Conditions for Travel Bucketlist Treks

  1. Formation of Your Contract

By completing a booking with Travel Bucketlist Treks, you are entering into a formal agreement with the relevant Supplier or Principal (referred to as “host”) of your travel arrangements, as outlined in the booking confirmation you will receive. This booking is governed by both these Booking Terms & Conditions and the specific conditions set out by the Supplier/Principal. We strongly recommend reading both documents carefully before confirming your reservation.

Once we send you your booking confirmation, the contract between you and the Supplier/Principal is deemed to have been formed.

  1. Booking Process

Bookings with us are made through our website. You will be provided the opportunity to review your trip details before confirming your payment. Once payment is processed, we will proceed to finalize the booking with the Supplier/Principal. In certain cases, we will need to check the availability with the Supplier/Principal first, and these instances will be clearly marked with a note stating “host approval required”.

Please ensure the details on your Booking Confirmation (including names, dates, and travel times) are correct and match the information in your passport. Any discrepancies should be reported to us immediately. As we serve as the booking intermediary, we cannot be held responsible for errors unless the mistake was made by us.

The details you provide us will be shared with the relevant Supplier/Principal or entities directly involved in your travel arrangements, in compliance with privacy laws.

2.1 Private Group Bookings

If you wish to make a reservation as part of a private group, please reach out to our Customer Support Team before proceeding with the booking. Additional terms and conditions will apply for private group bookings. Should there be any conflict between these group-specific terms and the standard ones, the group terms will take precedence.

  1. Payment Details

To secure your booking, a non-refundable deposit is required at the time of reservation, unless specified otherwise (e.g., bookings made close to the departure date, which require full payment at the time of booking). The full balance of the trip must be settled by the due date mentioned in your booking details.

If the balance is not paid in time, your booking may be canceled, and cancellation fees will apply. Please note, in certain circumstances, additional local payments may be required for things like national park fees, tourist taxes, or other local charges, which are your responsibility.

  1. Accuracy of Information

We take great care in ensuring that all the information we provide is accurate. However, due to the dynamic nature of adventure travel, some details may change. In such cases, we reserve the right to update prices or other information as needed. Always check the current details when you finalize your booking.

  1. Price Changes

We retain the right to adjust the price of travel arrangements at any time. Should there be an error in the published price, we will correct it. Additionally, prices may fluctuate after you’ve made your booking. Any special offers, discounts, or promotions are applicable to new bookings only, and cannot be applied retrospectively to existing bookings.

  1. Travel Insurance

Adequate travel insurance is a requirement for all international trips. The insurance must cover all elements of the trip, including cancellation, medical expenses, loss of belongings, and repatriation in case of emergency. Without proper coverage, you may not be able to join the trip.

For domestic bookings, while you may have access to local healthcare, we still recommend purchasing travel insurance to protect against unforeseen circumstances like trip cancellation.

  1. Passenger Information Form

Upon booking, you will be asked to fill out a Passenger Information Form, which will be shared with the Supplier/Principal. It is essential that the information you provide is complete and accurate. We are not responsible for any issues arising from incorrect or missing details provided by you.

  1. Health, Fitness, and Medical Considerations

Our trips often involve physical activity, and many require a certain level of fitness. It is essential that you fully review the details of your trip, including the physical requirements, before confirming your booking. If you have any concerns about your fitness level, please contact us prior to booking to discuss your suitability for the trip.

If you or any member of your group has any medical condition or disability that may affect your participation, we may require a medical certificate confirming that you are fit to travel. If, for any reason, your medical situation prevents participation or changes the suitability of the trip, we may need to cancel your booking and apply the relevant cancellation charges.

  1. Cancellations and Amendments

You can cancel or amend your booking through our online cancellation system. All cancellations or changes are subject to the Supplier/Principal’s specific booking conditions. The Supplier/Principal may charge cancellation or amendment fees, which usually increase as the departure date approaches.

In some cases, you may be eligible for credit towards future bookings, depending on the terms and conditions of the Supplier/Principal.

  1. Early Termination of Trip

If you choose to leave your trip early for any reason, we are unable to provide refunds for unused services. Depending on your travel insurance, you may be able to claim for trip curtailment. If the Supplier/Principal requires you to sign a release form when terminating your trip, please ensure it is done promptly.

  1. Our Role and Responsibility

As your booking agent, our responsibility is to facilitate the booking process and forward your booking details to the Supplier/Principal. We are not responsible for the actual delivery of services provided by the Supplier/Principal. Our liability is limited to twice the cost of the booking (or a proportionate amount if not all members of your group are affected).

We are not liable for any issues arising from the Supplier/Principal’s actions, unless it is caused by our own negligence.

  1. Accommodation Ratings

Accommodation ratings provided on our website are given by the Supplier/Principal and serve as a general guide. These may vary depending on the country and the provider, and we cannot guarantee their accuracy.

  1. Expected Behaviour

While on your trip, we expect you to behave responsibly and in accordance with the laws and customs of the destination. If your actions cause disruption or distress to others, or if the Supplier/Principal deems your conduct inappropriate, they reserve the right to terminate your booking immediately. You may also be required to pay for any damages or losses you cause, and failure to do so could result in further claims against you.
